Personal Information Collection Statement

This Personal Information Collection Statement (“PICS”) sets out how the E&M AI Lab (“we”, “our” or “us”) handles data collected through the registration form on the E&M AI Lab's website, in relation to the Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”).

Important Notice: This registration form is designed to collect company and organisational data only (i.e., non-personal data). You are advised not to provide any personal data (e.g., your personal name, personal email address, personal contact number, or any other information that may identify you as an individual) when completing this form. Where possible, please use your company name, company email address, and company contact number instead.

1. PURPOSE OF COLLECTION AND USE

The data collected through this form is intended to be company and organisational data only (i.e., non-personal data) and may be used for the following purposes:

1.1 to process and administer your company's registration to participate in events held by the E&M AI Lab;

1.2 to communicate with your company regarding the registration, the E&M AI Lab, or any enquiries, feedback, or complaints; and

1.3 to organise and administer events held by the E&M AI Lab, including your company's participation in such events (if the application is accepted).

2. DATA PROTECTION AND DISCLAIMER

This form is designed to collect company and organisational data only (i.e., non-personal data). The system is not designed to process or store personal data, and any data submitted through this form will be treated and stored as company and organisational data (i.e., non-personal data) regardless of its content.

2.1 We do not accept responsibility for any personal data that is inadvertently or voluntarily provided through this form contrary to the above notice.

2.2 Any data submitted through this form will not be subject to the data protection measures ordinarily applicable to personal data under the PDPO, as the system is not designed to handle personal data.

2.3 By submitting this form, you acknowledge and accept that if you provide any personal data despite the above warning, such data will be treated and stored as company and organisational data (i.e., non-personal data) accordingly.

2.4 We strongly advise you to refrain from inputting any personal data into this form. If you have concerns about the handling of your data, please contact our Data Protection Officer at info@enmailab.org before submitting the form.

3. TRANSFER OF DATA

For the purposes set out in Section 1 above, data collected through this form may be transferred to:

3.1 other execution members of the E&M AI Lab;

3.2 third-party service providers engaged by us for the purposes of administering, organising, or hosting the E&M AI Lab and its events; and

3.3 any government or regulatory authorities as required or authorised by law.

4. DATA ACCESS AND CORRECTION RIGHTS

In the event that any personal data is inadvertently collected through this form, you may have the right under the PDPO to request access to and correction of such data. Any data access or data correction requests, or any other data privacy-related enquiries, may be made by contacting our Data Protection Officer at info@enmailab.org.

5. ACKNOWLEDGEMENT

By submitting your registration through this form, you acknowledge that:

5.1 you have read and understood this PICS;

5.2 this form is intended for company and organisational data only (i.e., non-personal data);

5.3 you have been advised not to input any personal data into this form;

5.4 any data submitted will be treated and stored as company and organisational data (i.e., non-personal data); and

5.5 the system is not designed to store or protect personal data in accordance with the PDPO, and you accept the associated risks if you choose to provide personal data despite the above warnings.
